Privacy notice

1. Who we are

Neurovane Ltd. (“Neurovane”, “we”) is a company registered in the Philippines, with its office at Unit 1204, One Ayala West Tower, Makati City, Metro Manila 1226. For platform deployments we act as a data processor on behalf of the clinic; for our own website and business contact records we act as controller.

2. Website visitors

This site sets no advertising or analytics cookies and runs no third-party trackers. Server logs kept by our hosting provider record IP address, requested path, user agent and timestamp for security and abuse prevention, and are retained for 30 days.

3. Clinical data in the platform

• De-identification first. Direct identifiers are removed from a study package before it is processed by any internal service, including language and drafting features.
• No patient data in model calls. Drafting and summarisation features receive de-identified text and derived features only.
• Purpose limitation. Data submitted by a clinic is used only to deliver the service described in that clinic's agreement. We do not use it to train models or to build cross-clinic datasets.
• Retention. Retention windows are set per clinic in the data processing agreement. On termination, identifiable data is deleted within 30 days unless a longer period is required by law.

4. Subprocessors

We use hosting, email and business-software providers listed in the subprocessor schedule of each clinic's DPA. The current schedule is available on request. Any change is notified to clinic administrators in advance.

5. Your rights

Under the Philippine Data Privacy Act (RA 10173) and, where applicable, the GDPR, you may request access, correction, erasure, or a copy of your data, and may object to processing. Write to support@neurovane.com. Requests from patients about clinical records are directed to the clinic that holds the record, since the clinic is the controller.

6. Security

Access is role-based and scoped per clinic. Administrative actions and record access are logged. Data in transit is encrypted; data at rest is encrypted at the storage layer. We run a security questionnaire process for clinic IT teams and welcome independent review.

7. Changes

Material changes to this notice are posted here with a new effective date, and clinic administrators are notified by email.
